Effective Date: November 15, 2025
MarkMeIn.org ("we", "us", or "our") is committed to protecting the privacy and security of the personal data processed through our attendance tracking system. This Privacy Policy explains what personal data we collect, why we collect it, how we use and store it, and your rights regarding your data under the General Data Protection Regulation (GDPR).

1. Who We Are and Contact Details
Data Controller: The educational institution (e.g., college, university, school) that you are associated with is the primary data controller. We, MarkMeIn.org, act as the data processor on their behalf. For all data protection queries, please first contact your educational institution directly.

If you need to contact MarkMeIn.org regarding our data processing activities, you can reach us at:
info@markmein.org

2. What Personal Data We Collect
We collect and process personal data necessary for the attendance tracking service, including:
Identity Data: Your name, student ID, and email address.
Attendance Data: Records of your class attendance, including date, time, location (if applicable), and class.
Technical Data: Information like IP address and browser type for security and analytics.

3. How We Collect Your Data
We collect data directly from you when you interact with the website or indirectly from your institution.

4. The Purposes and Legal Basis for Processing
We process your data for attendance tracking based on the performance of a contract with your institution and in the public interest. We also process data for system security under our legitimate interests.

5. Cookies and Tracking Technologies
MarkMeIn.org uses only essential cookies that are strictly necessary for the website to function. These include: Login/session cookies – required to authenticate your account and keep you signed in. Cookie preference cookie – stores whether you dismissed or accepted the cookie banner. We do not use analytics cookies, advertising cookies, third-party tracking cookies, or cookies for profiling. Because our cookies are necessary for the core service, they do not require user consent under GDPR/ePrivacy. You may still choose to reject optional cookies (we currently have none), and you can manage your browser settings to delete or block cookies at any time.

6. Data Sharing and Transfer
We share your data with your educational institution. We may use third-party sub-processors under strict data processing agreements. If data is transferred outside the EEA, we use appropriate safeguards.

7. Data Retention
We retain your data only as long as necessary, as defined by your institution's policies, and securely store it. Data is securely deleted or anonymized when no longer needed.

8. Your Data Protection Rights
Under GDPR, you have rights including access, rectification, erasure, restriction of processing, objection to processing, and data portability. To exercise these rights, contact your institution.

9. Data Security
We implement technical and organizational security measures, such as encryption and access controls, to protect your data.

10. How to Contact the Appropriate Authority
If you have a complaint, contact us or your institution first. You can also lodge a complaint with a supervisory authority like the Data Protection Commission in Ireland or your local EU authority.

11. Changes to this Privacy Policy
We may update this policy and will notify you of significant changes.
